Westcoast Mountain Campers rents a wide range of quality campers, motorhomes, vanconversions, caravans, recreational vehicles, rvs and truck campers in Calgary, Alberta and Vancouver, British Columbia.

A circle trip of the west coast including Vancouver Island and leading up to the Olympic Village at Whistler BC are some of the most scenic wilderness adventures for holiday in a motorhome or truck/camper. Campervans and the Alberta Rockies are a great combination for summer getaways.

Camper and motorhome rentals are a very popular way to explore the Okanagan Valley, the Cariboo, the East and West Kootnay regions on your way to the Canadian Rockies in BC and Alberta Canada. We are also very close to Seattle Washington and the Olympic Peninsula from our rental station located near the Vancouver Airport in Richmond BC Canada.

Westcoast Mountain Campers Rental Terms for travel between 01-Jan-2014 and 31-Dec-2015

Payment
A non-refundable deposit will be taken from your nominated credit card at time of booking confirmation.  This percentage of the total fees will vary depending on the number of days your booking is placed before travel commencement.

The balance payment due will be deducted from your nominated credit card 35 days prior to the commencement of your rental. Please ensure there are sufficient funds available on your credit card card. If you are booking within 35 days of travel the entire cost of the rental will be transacted from your nominated credit card at time of booking confirmation.

Note on foreign currency bookings: full balance of payment (including the deposit) will be collected at the time of confirmation if you have elected to process your booking in a currency different to CAD$.

Some charges may be payable directly to your rental station upon arrival, these will be itemised as such in your breakdown of pricing if and where applicable. Payment for some additional items like physical extras (chairs, camping equipment) or additional insurance covers may be payable on arrival.  If so these will be itemised as such.

All changes and cancellation charges are subject to taxes.

(Please also note that the 1.5% credit card surcharge will be added when this payment is processed).

Cancellation fees
The initial deposit paid is non-refundable. In addition to forfeiting your deposit, the following charges also apply:

WInterizing
Please note that during winter season (usually from 01 October but possibly earlier), the vehicles will most likely be winterized, depending on weather conditions. This means that all water will be drained from the vehicle and replaced with anti-freeze liquid. This means that there will be no access to the sink, toilet or shower.

Travel insurance
We strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases this will cover any losses incurred if you are forced to cancel your booking.

Reservation changes
There is no charge for the first 2 changes to a reservation. Any further changes are $20 each.

Taxes
All deposits, damage charges and cancellation fees are subject to taxes.

Roadside Assistance
Clients are advised to call our toll free number for on-the-road assistance and to report any mechanical problems enroute.

Extra Mileage
38 cent per km for all vehicles.

Convenience Package
Convenience Package is available at an additional cost. It includes bedding, linen, cooking wares, dishes and cutlery. Motorhomes include microwave ware, first chemicals and rubber gloves. Propane is not included.

Prep Fee
The Prep Fee includes toilet chemicals, fresh water and sewer hoses, and transfers (see details). Pick-up areas in Calgary are limited to downtown and exclude Canadian Olympic Park and Bowness. Vancouver pick-ups are limited to downtown Vancouver, Burnaby and Richmond. North Vancouver and West Vancouver are excluded.
No downtown transfer after drop-off. Due to closure of Barlow Trail we cannot provide transfers to Calgary Airport after 3 pm. For airport transfers clients must drop-off no later than 1:30 pm.

Northern Surcharge
$1000 per rental to travel on the following routes:

Alaska, Northwest Territories and Yukon.
Travel on the Dempster Highway, Laird Highway and Dalton Highway is not permitted. 
The Northern Surcharge applies to travel on the Alaska Highway (#97) north of Fort St. John, B.C, Stewart-Cassiar Highway (#37) north of Meziadin Junction, B.C. and MacKenzie Highway (#35) north of Peace River, Alberta. Refer to Travel/Restrictions for more details.

Driver Qualifications
A valid driver’s license is required from the country of residence. The minimum driver age is 25 years. Maximum 70 years. Only persons named on the contract are permitted to drive the rented vehicle. Drivers between 21 and 24 years are permitted with a $10/day insurance supplement. A copy will be made of passport and driver's licence.

Security Deposit
An imprint and verification by a VISA or Mastercard is required as security deposit while the vehicle is out on rental. All deposits will be processed.

Fuel & Propane
Vehicles are at least half full of fuel and propane at pick-up and must be returned at least half-full by clients prior to drop-off at the station.

Travel Restrictions
Campers are permitted to be driven in Alaska, Northwest Territories and Yukon upon payment of a $1000 Northern Surcharge when requested at time of booking. Travel through “Death Valley” is prohibited from April 1 to September 30 due to extreme heat.

Travel to Mexico is not permitted. Motorhomes are not permitted to travel on gravel roads. Travel on the Dempster Highway, Laird Highway and Dalton Highway is prohibited in all cases. Our C30 Motorhomes and Van Conversions are not permitted to travel in Alaska, Yukon and the Northwest Territories. In case of violation, the renter assumes full responsibility for all damage to the vehicle including engine and tires. In addition a penalty of $1000 will be assessed to all renters who violate this provision of the contract.
Please refer to insurance coverage for further details. No pets allowed. WCMC assumes no responsibility for mechanical repairs or expenses if the vehicle is travelling in a restricted area.

Repairs
All repairs to the rental vehicle exceeding $75 require prior authorization from the rental station. Clients are required to call collect for approval. Without prior approval and proper receipts, no refunds will be made. Clients will be reimbursed for their costs of oil and coolants. Tire pressures must be maintained.
Dodge and Ford are represented by authorized dealers throughout Western Canada and the USA.

Storage
We provide facilities to store luggage without charge. All storage is at Renter’s own risk.

BC And Alberta Discount card
Minimum 10% discount card at participating campgrounds in BC and Alberta during Spring (April 1 -  June 30/13) and Fall (Sept 1 - Oct 10/13).

Orientation
A minimum of 45 minutes to one hour is required to familiarize the client with the operation of the rental vehicle prior to departure. Instruction Manuals are provided in all vehicles.

Responsibility
WCMC is not responsible for hotel charges, car rentals, meals, transportation, or any other incidental or consequential costs in the event of a mechanical breakdown. Liability is expressly limited to the schedule of daily rental rates. See details under insurance.

Early Returns
No refunds for early return of the vehicle, or unused kilometres.

Pick Up Day
Same day arrivals from overseas are not permitted due to travel fatigue, customs clearance and flight delays that cannot be anticipated.

Please note that Canadian and USA arrivals do not require overnight stays before pickup, but clients must arrive before 1pm from USA, and 2pm from Canada.

Clients are required to advise us accommodation name, address, telephone number, and room number so that we can arrange transfers to the rental station for pickup whether, from airport or downtown hotels.

On the Road
Instruction Manuals are provided in all vehicles.

Campground Stays
Clients are required to stay in campgrounds throughout their rental period. Names and locations are provided in the BC Accommodation guide and the Alberta Camping guide.
Microwave and air conditioning only operate on electrical hookup. Electrical hookup is particularly important in late summer and fall as days draw shorter and nights are cooler. Overuse of lights in the camper will drain the battery.

Drop off at Rental Station
GPS coordinates are shown on our station maps for Calgary and Vancouver.
Allow extra time if you have been involved in an accident or if you have to pack your suitcases at our station. If you wish to extend the length of your trip, please telephone our office and we will authorize it if the vehicle is available.
Clients may be asked to vacate the vehicle within half an hour of returning to the rental station. Holding tanks must be empty, and black and gray water valves open. ($125 fee to empty).
The vehicle must be left in a clean condition. If the vehicle is not left in a satisfactory condition, you may be subject to cleaning charges. A list of these charges as well as cleaning tips in included in the Manual. The exterior of the vehicle should be cleaned of dirt, but please do not try to remove bug stains and tar as damage may occur if the proper materials are not used. The equipment package must be complete, clean, and ready for inspection. Be sure that optional equipment such as toaster, axe and camping chairs are visible for inspection.
Clients are advised that they will be charged a late fee of $65/hour if they do not return by 12 noon without permission on the last day of their rental agreement.
Clients are returned to the airport or airport hotels. Taxis to downtown are approximately
$35 with a maximum of four persons in a cab depending on luggage. Mini-vans can also be
ordered on request.

Last Night Before Drop off
Clients should overnight within 100 kilometres of the rental station in order to arrive before 12 noon. Campgrounds near Calgary are located on the Trans-Canada Hwy from Lake Louise (about 3 hrs). Sea-to-Sky Hwy from Whistler, and US border to Vancouver (about 2 hours). If returning from Vancouver Island to Vancouver, clients must ensure they travel no later than the 9 am sailing. It is best to stay at a full-service campground so that you can dump tanks before making the final run to the rental station.

Bike racks: $10/day.
Racks are not available on Muscle Trucks, Macro Trucks, and Deluxe Van conversions.

Security Deposits
Security Deposits are paid by clients:

1. $1500 deposit when CDW is taken - $15 per day (Compulsory)
($900/$400 deductible).

2. $1500 deposit when VIP is taken - $25 per day
($600/$300 deductible).

3. $1000 deposit when LDW is taken - $35 per day
($300/$200 deductible).

INSURANCE COVERAGE
All Westcoast Mountain vehicles are insured for$5,000,000 public liability insurance. Premiums for this basic insurance are included in all rental rates, with standard deductible of $4500 per occurence.

CDW - Collision Damage Waiver (Compulsory )
The deductible for MVA damage is reduced to $900 ($300 for windshields) with the purchase of CDW at $15/day.
Comprehensive coverage is $400 deductible.

VIP INSURANCE – Vacation Interruption Protection
The deductible for MVA damage is reduced to $600 ($200 for windshields) with the purchase of VIP at $25 per day.

VIP also covers pre-approved expenses for accommodation, and transportation (excluding fuel and food) up to the amount of the daily rental rate in the event of a mechanical breakdown requiring the vehicle to be in for repair for more than 12 hours.

Mechanical breakdown does not include the malfunctions of the radio/CD player, air conditioner, stove, oven, microwave oven, refrigerator/freezer, generator, furnace, water pump/water heater, or any appliance. VIP applies only if mechanical breakdown to be repaired is for more than 12 hours after being reported to the appropriate WCMC rental station.

Maximum liability coverage for Vacation Interruption Protection is $1500 per rental. Customers must present receipts for refund of expenses for car rental and accommodation.

VIP is not valid in event of a motor vehicle accident. VIP does not include coverage for personal injury.

LDW COVERAGE - Loss Damage Waiver
LDW includes all the benefits of VIP coverage. The deductible for MVA damage is reduced to $300 with the purchase of LDW at $35 per day.

Loss of use charges result from single vehicle or third party accidents when damage to the rented vehicle renders it inoperable. Loss of use charges are based on the daily rental rate while the rented vehicle is out of service.

The Client will not be required to pay for Loss of Use of the vehicle with the purchase of Loss Damage Waiver (LDW) at $35 per day. LDW coverage includes Vacation Interruption Coverage (VIP) up to $1500 per rental.

In the event of a motor vehicle accident a Police Report is required for insurance coverage to be effective. Losses not covered by insurance are specified and do not require a police report.

The Client may be required to pay the Crash Responsibility Charge of up to $250 that may be levied by the Insurance Corporation of BC in the event of the client causing an accident.
Security deposits are held by WCMC until all costs for damage are finalized, and/or such time as the Insurance Corporation of British Columbia has determined damage liability.

Breakdown and Repairs
The Client acknowledges the possibility of a mechanical failure or breakdown, and acknowledges that such occurrence is an inherent contingency associated with the operation of the vehicle, and that such contingency is beyond the control of the Company. The Client agrees to hold the Company harmless from and against any loss of time, transportation costs, inconvenience, and loss of food in the vehicle, and any and all expenses resulting from such contingency in the event of mechanical failure or breakdown.

The Company will make all reasonable efforts to assist the Client to obtain help or arrange for repairs, subject to the location of the vehicle and business hours of the repair facilities.

Damage Assessment for incidental Damage
A Damage Assessment Fee of $250 may be charged for each occurrence of incidental damage caused to the vehicle.

Incidental damage includes damage caused by backing into stationary objects, scraping against stationary objects, striking the roof and sidewalls, rock chips and interior damage.

Damage to the rear, sidewalls, roof and air conditioner on the camper or motorhome can be avoided by being aware of overhead objects, driving slowly in campgrounds, parking lots and service stations, and having someone outside the vehicle as a guide in tight situations and when backing up.

Any additional documentation of incidental damage that may be required by the provider of third party insurance coverage will incur additional administration fees.

We urge clients to be particularly careful of the vehicle to avoid incidental damage. Motor vehicle accidents that require a Police Report are not considered to be incidental damage.

Loss of Use Caused By Accidents
Under terms of the Rental Agreement, the Client is responsible for loss and damage to the rented vehicle, even if caused by someone else, or the cause is unknown. Limits of liability are determined by the type of Optional Insurance Coverage offered by Westcoast Mountain Campers Ltd. Clients will not be charged for Loss of Use when Loss Damage Waiver is purchased. Loss of use charges result from single vehicle or third party accidents when damage to the rented vehicle renders the rented vehicle inoperable or unusable. The time to repair the vehicle is determined by the final completion date of the repairs. The time to replace a vehicle is determined by the delivery date if a replacement vehicle is returned to our rental station.

The time to repair or replace a vehicle may well extend beyond the drop-off date on the Rental Agreement.

WCMC reserves the right to provide an alternative type of vehicle to the Client in the event of an accident that causes the rental vehicle to be inoperable or unusable. Clients must return to the WCMC rental station at their cost to obtain another rental vehicle.

Child booster seats
We rent baby seats only as Optional equipment that must be booked and prepaid prior to pickup. Children who have outgrown their child seats are required to use a booster seat until they are nine years old, unless they are 145 cm (4'9") tall. The use of a booster seat in a motorhome equipped with lap and shoulder belts is required.  There is an exemption for vehicles that do not have lap and shoulder belts, in which case the child can be restrained with the lap belt alone, without a booster seat.

Child Restraint Seats
Clients must  bring their own child restraint seats and booster seats. Supplier rents only baby seats.

Cell phone use in BC
Drivers are not permitted to use cell phones while driving in BC.

Local transit
Vancouver

The Canada Line between Vancouver Airport and downtown has a station in Richmond at Bridgeport Station near River Rock Casino. Clients staying at airport hotels can now easily and inexpensively go into the city for an evening.

Calgary
Calgary C-Train runs to northeast Calgary with a stop located at Marlborough Mall. Traffic to the airport along Barlow Trail will be rerouted in Spring 2012 which will add about 15 minutes to transfer times. New access to the airport will be by Deerfoot Trail.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.95% credit card or debit card surcharge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Information disclosure
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Motorhome rental alterations (all charges stated in local currency): 25.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.

Refund Policy
We are committed to providing a quality service and aim for complete customer satisfaction. In the event of cancellation, any refunds or penalties are detailed in the terms and conditions of your selected vehicle that you are asked to read and accept at time of booking. In the event you are unsatisfied with our service, please contact us within 48 hours of placing your booking or request and we will work to resolve any issues and determine if compensation is due. In the event you have completed your rental and are unhappy with your vehicle, we are happy to assist you in seeking compensation from the operator of the vehicle.

SECURITY DEPOSITS
Security Deposits are paid by clients:

1. $1500 deposit when CDW is taken - $15 per day (Compulsory)
($900/$400 deductible).

2. $1500 deposit when VIP is taken - $25 per day
($600/$300 deductible).

3. $1000 deposit when LDW is taken - $35 per day
($300/$200 deductible).

INSURANCE COVERAGE
All Westcoast Mountain vehicles are insured for$5,000,000 public liability insurance. Premiums for this basic insurance are included in all rental rates, with standard deductible of $4500 per occurence.

CDW - COLLISION DAMAGE WAIVER (Compulsory)
The deductible for MVA damage is reduced to $900 ($300 for windshields) with the purchase of CDW at $15/day.
Comprehensive coverage is $400 deductible.

VIP INSURANCE – VACATION INTERRUPTION PROTECTION
The deductible for MVA damage is reduced to $600 ($200 for windshields) with the purchase of VIP at $25per day.

VIP also covers pre-approved expenses for accommodation, and transportation (excluding fuel and food) up to the amount of the daily rental rate in the event of a mechanical breakdown requiring the vehicle to be in for repair for more than 12 hours.

Mechanical breakdown does not include the malfunctions of the radio/CD player, air conditioner, stove, oven, microwave oven, refrigerator/freezer, generator, furnace, water pump/water heater, or any appliance. VIP applies only if mechanical breakdown to be repaired is for more than 12 hours after being reported to the appropriate WCMC rental station.

Maximum liability coverage for Vacation Interruption Protection is $1500 per rental. Customers must present receipts for refund of expenses for car rental and accommodation.

VIP is not valid in event of a motor vehicle accident. VIP does not include coverage for personal injury.

LDW COVERAGE - LOSS DAMAGE WAIVER
LDW includes all the benefits of VIP coverage. The deductible for MVA damage is reduced to $300 with the purchase of LDW at $35 per day.

Loss of use charges result from single vehicle or third party accidents when damage to the rented vehicle renders it inoperable. Loss of use charges are based on the daily rental rate while the rented vehicle is out of service.

The Client will not be required to pay for Loss of Use of the vehicle with the purchase of Loss Damage Waiver (LDW) at $35 per day. LDW coverage includes Vacation Interruption Coverage (VIP) up to $1500 per rental.

In the event of a motor vehicle accident a Police Report is required for insurance coverage to be effective. Losses not covered by insurance are specified and do not require a police report.


The Client may be required to pay the Crash Responsibility Charge of up to $250 that may be levied by the Insurance Corporation of BC in the event of the client causing an accident.
Security deposits are held by WCMC until all costs for damage are finalized, and/or such time as the Insurance Corporation of British Columbia has determined damage liability.

BREAKDOWN AND REPAIRS
The Client acknowledges the possibility of a mechanical failure or breakdown, and acknowledges that such occurrence is an inherent contingency associated with the operation of the vehicle, and that such contingency is beyond the control of the Company. The Client agrees to hold the Company harmless from and against any loss of time, transportation costs, inconvenience, and loss of food in the vehicle, and any and all expenses resulting from such contingency in the event of mechanical failure or breakdown.

The Company will make all reasonable efforts to assist the Client to obtain help or arrange for repairs, subject to the location of the vehicle and business hours of the repair facilities.

Damage Assessment for incidental Damage
A Damage Assessment Fee of $250 may be charged for each occurrence of incidental damage caused to the vehicle.

Incidental damage includes damage caused by backing into stationary objects, scraping against stationary objects, striking the roof and sidewalls, rock chips and interior damage.

Damage to the rear, sidewalls, roof and air conditioner on the camper or motorhome can be avoided by being aware of overhead objects, driving slowly in campgrounds, parking lots and service stations, and having someone outside the vehicle as a guide in tight situations and when backing up.

Any additional documentation of incidental damage that may be required by the provider of third party insurance coverage will incur additional administration fees.

We urge clients to be particularly careful of the vehicle to avoid incidental damage. Motor vehicle accidents that require a Police Report are not considered to be incidental damage.

Loss of Use Caused By Accidents
Under terms of the Rental Agreement, the Client is responsible for loss and damage to the rented vehicle, even if caused by someone else, or the cause is unknown. Limits of liability are determined by the type of Optional Insurance Coverage offered by Westcoast Mountain Campers Ltd. Clients will not be charged for Loss of Use when Loss Damage Waiver is purchased. Loss of use charges result from single vehicle or third party accidents when damage to the rented vehicle renders the rented vehicle inoperable or unusable. The time to repair the vehicle is determined by the final completion date of the repairs. The time to replace a vehicle is determined by the delivery date if a replacement vehicle is returned to our rental station.

The time to repair or replace a vehicle may well extend beyond the drop-off date on the Rental Agreement.

WCMC reserves the right to provide an alternative type of vehicle to the Client in the event of an accident that causes the rental vehicle to be inoperable or unusable. Clients must return to the WCMC rental station at their cost to obtain another rental vehicle.

LOCAL CLIENTS (arriving by car)
Please advise the rental station of the time of your pickup.

INTERNATIONAL CLIENTS (transfers from airport and downtown hotels)
Clients arriving from overseas require an overnight stay before pickup.  Clients are advised to telephone the supplier's local rental station to advise the name of their hotel, address, room number and telephone number in order to arrange pickup for airport and downtown hotels.

The Supplier also offers extended service hours on Sundays and holidays upon payment of $95 per occurrence at pickup and drop-off. It can be helpful to know about this service when arranging your flights.

Vehicle returns
Vehicles have to be back before 12 noon. Client needs to call if they will be delayed. There is a $65/hour late fee. There are numerous campgrounds around the city so that your drive to the station is no more than a couple of hours. Transfers at drop off are to the airport and airport hotels. You must allow sufficient time to be sure that all holding tanks are empty before returning to the station, and to pack your belongings to vacate the vehicle upon arrival at the rental station.
